The process

How it works — with real numbers

Ordering from a garment factory follows a fixed sequence: inquiry, quote, sample, approval, production, inspection, shipping. First-time importers deserve that map with real numbers on it. Here is our whole process, inquiry to delivery, with the days each stage actually takes — and a FAQ where every answer is a number, not “contact us”.

  1. Step 1 · Day 0–1

    Brief & quote

    Share your tech pack, designs or a reference, with target quantities. We confirm fabric, fit and what’s buildable, and reply with MOQ, price and lead time — usually within 24 hours.

  2. Step 2 · Day 1–5

    Pattern & CAD

    Our Optitex CAD team drafts and grades the pattern and builds an efficient marker — cleaner fits, less fabric waste.

  3. Step 3 · Day 7–14

    Sample & approval

    We make your pre-production sample to spec and revise until you sign it off. Nothing cuts to bulk before you approve.

  4. Step 4 · Week 3–4

    Source & cut

    Fabric and trims are sourced and inspected, then cut to the approved consumption. Every bundle gets a QR ticket.

  5. Step 5 · Week 4–7

    Sew & inspect

    Sewn on our 150+ machine knit line under in-line checks, then a final AQL 2.5 inspection. Your third-party inspector is welcome.

  6. Step 6 · Day 40–50

    Pack, document & ship

    Ratio-packed and carton-marked to your spec, with commercial invoice, packing list and the REX statement on origin for 0% duty. Sea via Kolkata / Visakhapatnam, or air.

Quote

A line-item quote — fabric, trims, CMT, packing — at your Incoterm (EXW Gaindakot or FOB Kolkata), with MOQ, lead time and landed-cost guidance for your market. No mystery numbers.

0303 · 7–14 days + courier

Sampling

We develop your pre-production sample: fabric, fit and finish to your spec, with lab dips for colour approval. Samples and courier are charged and credited against your bulk order. Revise until it’s right.

0404 · Same week

Approval and order

You approve the pre-production sample in writing — it becomes the contract standard we keep on file. Payment is staged: a deposit by bank transfer, with the balance against inspection and shipping documents. Letters of Credit are accepted through our Nepali bank on larger orders.

0505 · 40–50 days

Production

Fabric is prepared to your approved lab dip, then cut, sewn and finished on our 150+-machine floor — capacity 26,000–30,000 pieces a month, one dye lot per order. Bulk takes 40–50 days from sample approval. Any printing or embroidery is handled by trusted partner decorators, coordinated by our team.

Quality control

In-line checks during sewing and a final AQL 2.5 inspection (or your specified level) against your approved sample. Buyer-appointed third-party inspection is welcome — we’ll schedule it, not dodge it.

0707 · Sea 6–8 weeks · Air about 1 week

Shipping and documents

Sea freight routes via Kolkata — roughly 6–8 weeks to the UK and EU, 7–10 to North America, from our gate. As a REX-registered exporter we put the EU and UK statement on origin on every invoice, and supply the origin documents Japan requires. For Canada we sign CBSA Form B255, the exporter’s certificate of origin.

What is your minimum order quantity?
1,000 pieces per style and colour, with splits agreed per programme.
How long does a first order take, end to end?
Samples take 7–14 days, bulk production 40–50 days after you approve the sample, and sea freight roughly 6–8 weeks to Europe — so plan on about four months from inquiry to delivery. Reorders skip sampling because your patterns, lab dips and approved sample are already on file.
What do samples cost?
Sample making and courier are charged at cost and credited against your bulk order. Couriered samples reach Europe or North America in 3–5 days.
What are your payment terms?
Staged: a deposit by bank transfer, with the balance against inspection and shipping documents. Letters of Credit are accepted via our Nepali bank on larger orders. We never ask for 100% upfront — and you shouldn’t accept that from any factory.
What duty will I pay?
0% into the EU, UK, Canada and Japan while Nepal is a least-developed country, against around 12% standard EU and UK duty (18% in Canada) on knitwear. Graduation is scheduled for 24 November 2026, followed by about three years’ transition in the EU, UK and Canada. The USA is not duty-free.
What capacity do you have?
150+ sewing machines on a single knit floor, producing 26,000–30,000 pieces a month, confirmed per programme.
Can you sew in my labels?
Yes — woven or printed labels, sewn in at the factory, with fibre-content labelling done to your market’s rules.
How do I verify you’re real before ordering?
Take a live, unscripted video walkthrough of the floor — you direct the camera — on any working day, or visit Gaindakot in person. Company registration, EXIM and REX details are available on request.
